To use When2Meet, the organizer first sets up a new event by entering the event details like name, location, date range, etc. They can then invite participants via email. Each invitee receives a link to the When2Meet availability grid for that event.
Participants simply click on the times they are available, which then shows up as green on the grid. Times they are busy are left white. As more people fill in their availability, only the times that work for everyone remain green.
This makes it very visual and easy to find a shared meeting time that accommodates everyone's schedule. The organizer can then finalize a meeting time based on the options.
